Description :  

·            Through the administration team on site, ensure to maintain up to date data base and filing system for attendance, time keeping, licenses, security passes, camp accommodation roster, meals and social events and activities.

·            Ensure that all administrative and support services are provided smoothly to all the project offices, camp facilities and construction sites, included and not limited to local supplies, public relations, dealings with official local authorities, medical and health care, civil defense, police and accidents and insurance related matters;

·            Organize and obtain security passes for all related activities on site (Staff, Machinery & Equipments). Ensure that (transporter, subcontractors) maintain at all times the standards HSE and QA/QC policy and procedures set for the project and approved by the client.

·            Organizes and maintains smooth availability of drivers, equipment and transportation
facilities for the project staff, work execution, camp and site office facilities at all times

·            Organization of the overall Communication system(s), including telephone, fax and mobile services, as well as wireless communication and licenses as deemed necessary by the project manager to facilitate the projects communications in different locations at all the time;

  ·         Maintain excellent relationship with AJE Operation Department and other local suppliers to ensure availability and proper coordination of licenses and security passes for all transportation vehicles equipments and machinery all through the project execution plan.

·         Maintain excellent relationship with local police and authorities to assist in case of transport accidents, incidents and obstacles to quickly obtain clearance and ensure timely return of drivers and vehicles to work;

·         Handle and coordinate site visits to HO staff take care of their accommodation, transportation and necessary security passes to enable them to visit the locations they chose in a timely manner;

·         Manage and control the preparation of time sheets and attendance control system on site, organize and schedule social activities, sporting events and ceremonies;

·         Ensure proper records are kept and local suppliers invoices are checked in line with the contractual agreements, rates and the time use of such machinery and equipments and ensure timely and accuracy is maintained for checking and processing such invoices at all times.

·         Monitor and control catering and services subcontractors and all camp services and activities;
 
Knowledge Base:
 
A. Academic Education
 

·            B.A in business administration or necessary qualification in the field.

·            Relevant qualifications and experience in local procurement, support services and goods delivery logistics for construction projects, maintaining Quality Control and Quality Assurance and HSE awareness to all jobs performed.

·            Familiar with accommodation and food setup support and maintenance, able to work with multifunctional atmosphere, and deal with multiethnic groups and nationalities
 
B. Professional Education
 

·            In-depth knowledge of all types of services, goods, materials and supplies frequently and locally acquired and used in the construction projects, as well as a good knowledge of country’s local laws and regulations.

·            Excellent dealings with local and government authorities;

·            Renown for accuracy in record keeping and report writing and communication skills
 
Special Knowledge
 

·            Well versed with computer programs to assist his logistics support services;

·            Fluency in oral and written English and Arabic languages in most necessary

·            Must be able to work under pressure and within set guidelines and should have excellent report writing abilities.
 
Previous Experience:
 

·            Experience of at least 10 years in organizing and managing administration and logistic activities of Projects (on site and in office), with reputable construction companies in the Gulf Countries.

·            Skillful, excellent negotiator and familiar with all government formalities for licensees, security clearances for employees and machinery. Should have excellent Public Relations with local suppliers and possible and potential providers

·            Should be familiar with HSE standards and should be able to work within an ISO environment, should be a constant learner and keeping up to date all rules and regulations within the facility of the project location.

·            Excellent computer and English language skills, ability to communicate and converse in Arabic;
